How to add a background picture in PowerPoint

It has to project a unifying theme.

When presenting a PowerPoint to an audience, it is an unavoidable fact that looks matter. An attractive presentation will not compensate for bad content. But it will augment good content, making it both easier to understand and more memorable. In fact, many of the principles of good content organization — symmetry, hierarchy, color coding — are aesthetic principles as well.

Your choice of a background image, or your decision to not use one, is important. In most cases, it will be seen on every slide. It has to look good sitting behind the various kinds of content (text, images, tables, etc.) in your PowerPoint. And it has to project a unifying theme that reinforces the main message of the presentation. Fortunately, you can switch background pictures as often as you need to, and the procedure is fast and easy. Let’s review how to add or change (or remove) a background picture in PowerPoint, so you can make sure your slideshow is looking its best.

QUICK ANSWER

To add a background picture in PowerPoint, go to the Design menu and click on Format Background in the upper right. In the dialogue box that comes up, choose Picture or texture fill. Click on Insert and choose the source for your background image. Pick the file you want to use and click on Insert. Back in the Format Background window, click on Apply to All to make your current choice the background image for all slides in the presentation.

FAQs

A background picture will not make your data more accurate or your business case more compelling. But psychological studies have long showed that a unifying image among the slides of a slideshow helps the audience associate the data they are reading with the overarching message of the presentation.

There is no maximum image or file size for a PowerPoint background, but there is an upper limit of 1,000 DPI in resolution. There is a minimum image size, of sorts, in that a widescreen PowerPoint slide is 1920 x 1080 pixels by default. Any image smaller than that will look pixelated if used as a background unless you change the slide size for your PowerPoint presentation.

Image file formats you can use in PowerPoint, for background or any other use include GIF, JPEG, PNG, TIFF, and BMP.

The default format for screenshots taken on PCs (Windows and Mac) is PNG. Since this is a compatible file format with PowerPoint, yes, you can paste a screenshot directly from your clipboard into your PowerPoint presentation.
